Social Play Sub-committee

Main Purpose:

To ensure that social play at MLTC is well organised, inclusive and thriving.

Chair:             Social Players Director

Key Responsibilities:

  1. To manage daytime/evening club sessions, making sure that all players are included.
  2. To arrange and promote a number of internal competitions for social players, if there is interest from social players
  3. To help integrate new members into the Club, and into daytime/evening club sessions in particular.
  4. To help ensure fair play and undertake any initial disciplinary measures of social playing members.
  5. To promote a friendly and welcoming environment for all members.
  6. Operate in accordance with all MLTC Limited Rules and Regulations.

  4. Manage junior teams and matches and liaise with the Match Secretary.
  5.  Review teams annually and propose appropriate changes.
  6.  Know competition rules for competitions entered including nominations, results reporting and be sure these are communicated to those participating.
  7.  Oversee transition of juniors to senior section.
  8.  Integrate new junior members into the Club.
  9.  Be responsible for Safeguarding children at the Club (including DBS checks for anyone working with juniors)
  10. Work with Communication/Publicity to publicise results and progress of juniors.
  11. Ensure smooth running of junior club sessions.
  12. Operate in accordance with all MLTC Limited Rules and Regulations.

  5. Ensure that Health and Safety and Food Standards are followed.
  6. Arrange volunteers where required to fulfil the needs of a particular event.
  7. Keep the finances for each event separate and in accordance with the rules and regulations of the Club.
  8. Aim to manage and run each individual social event such that it breaks even (within reasonable limits). Where a loss is anticipated this should be identified and approved by the Management Committee, or in their absence, the Officers of the Club prior to the event being held.
  9. Operate in accordance with all MLTC Limited Rules and Regulations.

Main Purpose:

To be jointly responsible for the management and good order of the courts, grounds, Utilities together with the building fabric, its finishes, fixtures & fittings and internal services of the Clubhouse.

      1. Item budgeted in quarter (or earlier) of spend
      1. Spend within 10% of budget and can be met within the overall facilities & maintenance budget
      1. A minimum of 3 quotations have been received for one-off spend of > £1,000
      1. Declaration has been made to the Board of any related party transactions
      1. The budget includes a contingency.  Items < £500 can be spent from the contingency, budget, subject to sufficient funds,  items > £500 require Board approval.
  3. Manage the annual maintenance schedule, ensure items are completed, issue progress reports to the committee
  4. Oversee/update long term maintenance schedule and assist the committee with choosing appropriate project managers for larger projects.
  5. Ensure that playing facilities follow LTA guidelines and regulations.

Coaching & Player Development Sub-committee

Main Purpose:

To ensure that coaching and player development at MLTC is provided for all groups appropriately.

Junior Sub-committee

Main Purpose:

To oversee the junior section of the club.

Chair:             Junior Representative Director

Members:    Head Coach

Co-opted:     Parents & Juniors

Meetings:     Around twice a year (minimum of one)

Quorum:       2

Budget, spending approval & administration:

Expenditure up to a total of £500 can be incurred annually without reference to the Board.

Key Responsibilities:

  1. Prepare junior’s reports, tournaments, annual budget
  2. Formulate and chair a junior’s tournament committee to work with the tournament committee.
  3. To assume initial disciplinary action involving juniors.
  4. Manage junior teams and matches and liaise with the Match Secretary.
  5.  Review teams annually and propose appropriate changes.
  6.  Know competition rules for competitions entered including nominations, results reporting and be sure these are communicated to those participating.
  7.  Oversee transition of juniors to senior section.
  8.  Integrate new junior members into the Club.
  9.  Be responsible for Safeguarding children at the Club (including DBS checks for anyone working with juniors)
  10. Work with Communication/Publicity to publicise results and progress of juniors.
  11. Ensure smooth running of junior club sessions.
  12. Operate in accordance with all MLTC Limited Rules and Regulations.

Social Activities Sub-committee

Main Purpose:

To encourage and promote a good social atmosphere and help to organise social events.

Chair:             Social/Bar/Comms Director                   

Members:    Social Secretary, Junior Representative Director, Bar Representative, Communications Representative

Co-opted:     Various people to help run events         

Meetings:     Around three times per year (minimum of two)

Key Responsibilities:

  1. Promote a friendly and welcoming environment to all members.
  2. To organise social events – BBQs,Discos, Quiz nights,  Balls, etc. throughout the year.
  3. To organise catering for Club events.
  4. To flag up any facilities/equipment requirements regarding the kitchen and liaise with the Facilities Representative or the Club Administrator.
  5. Ensure that Health and Safety and Food Standards are followed.
  6. Arrange volunteers where required to fulfil the needs of a particular event.
  7. Keep the finances for each event separate and in accordance with the rules and regulations of the Club.
  8. Aim to manage and run each individual social event such that it breaks even (within reasonable limits). Where a loss is anticipated this should be identified and approved by the Management Committee, or in their absence, the Officers of the Club prior to the event being held.
  9. Operate in accordance with all MLTC Limited Rules and Regulations.

Facilities Sub-committee

Main Purpose:

To be jointly responsible for the management and good order of the courts, grounds, Utilities together with the building fabric, its finishes, fixtures & fittings and internal services of the Clubhouse.

Members:    Honorary Treasurer, Bar Representative, Administrator

Meetings:     Around six times per year (minimum of four)

Key Responsibilities:

  1. To Work closely with the Administrator to oversee maintenance of the club facilities.
  2. Agree annual maintenance budget with Treasurer and approved by the board.
    1. Committee has authority to spend items meeting the following criteria:
      1. Item budgeted in quarter (or earlier) of spend
      1. Spend within 10% of budget and can be met within the overall facilities & maintenance budget
      1. A minimum of 3 quotations have been received for one-off spend of > £1,000
      1. Declaration has been made to the Board of any related party transactions
      1. The budget includes a contingency.  Items < £500 can be spent from the contingency, budget, subject to sufficient funds,  items > £500 require Board approval.
  3. Manage the annual maintenance schedule, ensure items are completed, issue progress reports to the committee
  4. Oversee/update long term maintenance schedule and assist the committee with choosing appropriate project managers for larger projects.
  5. Ensure that playing facilities follow LTA guidelines and regulations.
  6. Ensure that the club facilities comply with appropriate/relevant Statutory Regulations and Safety Standards
  7. Operate in accordance with all MLTC Limited Rules and Regulations.

Redevelopment and Strategy Sub-committee

Main Purpose:

To plan future development and long term strategy for the club.

Safeguarding Sub-committee

Main Purpose:

To ensure that systems and processes are in place to safeguard vulnerable adults and children at MLTC and when they are involved in any MLTC activities (including those that take place away from the club premises).

Members:    Junior Players Representative, Welfare & Child Protection Officer, Head Coach, Publicity & Communications Representative

Key Responsibilities:

  1. To ensure that MLTC responds appropriately to changes in legislation or LTA guidelines/advice with regard to safeguarding.
  2. To regularly assess whether the safeguarding systems & processes are being followed.
  3. To ensure that all officers & members of the club are aware of the need for safeguarding and their expected part in it.
  4. To respond in a timely manner to any issues that occur with regard to safeguarding – both for the person(s) involved and with regard to any changes necessary in policies, procedures and systems.

Disciplinary Sub-committee

Main Purpose:

To investigate and adjudicate on any issues of MLTC that might require disciplinary action to be taken against an officer or member.

Chair:             Honorary Secretary

Members:    Chair, Treasurer, President

Co-opted:     As decided by the sub-committee         

Meetings:     As required (called by the Honorary Secretary)

Quorum:       3         (if any of the members are involved in the disciplinary issue then the sub-committee chair [or Chair] will co-opt other officers to fill their position)

Key Responsibilities:

  1. To delegate the fact based investigation to one member of the sub-committee.
  2. To review collectively the facts gathered, to reach conclusions from the investigation and reach draft recommendations for action to be taken.
  3. To hold a hearing with potential persons that may be disciplined, outlining the facts, allowing questions & answers from both the sub-committee and from any person that may be disciplined.
  4. To decide on any disciplinary action, to fully communicate this with any person that is or is not being disciplined.
  5. To retain full records of any investigations, hearings and decisions.
